Administrative Specialist: Bridgetown, Barbados

As the Administrative Specialist you will be responsible for providing wide ranging secretarial and office support for the Organization’s Caribbean Regional Office.

Description of Responsibilities:

  • Provides secretarial support services in the areas of mail handling, typing, filing, scheduling meetings/appointments, faxing, photocopying, scanning, receiving phone calls, making travel and hotel reservations, and ordering office supplies.
  • In liaison with the US Embassy, provides logistical support for the activities and personnel of the Organization. This includes but is not limited to facilitating the arrival and departure of outside consultants and the orientation and support of local consultants.
  • Responsible for preparation and filing of time and attendance for Organization’s employees for submission to the Embassy payroll clerk.
  • Responsible for upkeeping the Calendar & Assignment Notice Board.
  • Prepares and distributes agenda for staff and other meetings. Also takes minutes and acts as chief note-taker and ensures timely dissemination of same in a timely manner.
  • Responsible for initiating and tracking procurement initiatives (supplies, equipment, contracts, purchase orders, property action requests, etc).
  • Responsible for conference and meeting planning, including setting up audio-visual equipment
  • As the sub-custodial officer, responsible for safeguarding critical property such as digital cameras, etc. Also responsible for office inventory and coordinating office and residence inventory annually or as directed.
  • Backs up Financial Specialist in their absence, with basic accounting/clerical duties.

    Minimum Qualifications:

  • Minimum of four years progressively responsible secretarial and clerical experience in a computer oriented environment. Experience with U.S. Government Agency is desirable.
  • Ability to determine optimal courses of action to ensure multiple details are resolved in conjunction with scheduled events. Must be able to prioritize a demanding workload to ensure deadlines are met.
  • Knowledge of accounting, budgeting, preparation of invoices, receivables, procurement
  • Ability to work and undertake tasks with minimal supervision and instructions.
  • Attendance at the university level required. Completion of degree qualifications preferred
  • Basic IT system administration, and Microsoft Office suite, as well as digital camera and in room AV presentation equipment
  • Effective written and oral communications are essential.

    Salary Grade: Varies upon experience
