The Ministry of Local Government invites applications from suitably qualified persons for employment on contract, for a period of two or three years in the under-mentioned positions.
SECRETARY TO MANAGER REGIONAL PLANNING
The successful candidate would be required to provide administrative and secretarial support services to the Manager, Regional Planning of the Ministry of Local Government.
KEY DUTIES AND RESPONSIBILITIES
- Plans, organizes and coordinates the administrative and secretarial aspects of the activities of Manager Regional Planning.
- Types documents of varying complexity.
- Prepares agenda for, and takes notes at meeting/conferences and reproduces typewritten minutes as directed.
- Follows up decisions taken at meetings and reports their status periodically.
- Receives, registers and routes incoming and outgoing mail
- Sends acknowledgements to letters/invitations received and prepares replies to letters under general dictation of the Manager Regional Planning.
- Answers the telephone, attends to enquiries over the telephone or to the business of callers and visitors including arranging meeting and interviews as guided by the Manager Regional Planning.
- Maintains filing system of correspondence, reports, circulars and other records pertaining to the work of the office.
- Operates simple office machines not requiring previous training or experience.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
- Some knowledge of office practices and procedures.
- Skill in note taking, typing and the use of computer applications such as Word and Excel.
- Skill in the composition and preparation of letters, memoranda, minutes and reports.
- Ability to perform administrative duties.
- Ability to follow detailed instructions.
- Ability to establish and maintain effective working relationships with associates and the public.
MINIMUM QUALIFICATION AND EXPERIENCE
At least 3 years’ experience in administrative and secretarial work and training as evidenced by passes in approved examinations in English Language, Typing at the rate 50 words per minute or any equivalent combination of experience and training. An Associate Degree in Business management of Certificate in Administrative Professional Secretary and knowledge of shorthand would be an asset.
